Payment of NCEA and New Zealand Scholarship fees and applications for financial assistance for 2015

NCEA and New Zealand Scholarship fees payments are due at NZQA by 11 September 2015. Receipts will be issued for all payments received.

Please contact the NZQA Data Team if you have any questions regarding payment or allocation of these fees.

Financial Assistance and the Data File – 1 September 2015

Financial assistance applications should be included in the 1 September data file submission. Once this file has been processed, check that all candidates who have applied for financial assistance are listed on the Key Indicators on your school login area of the NZQA website, and that all applications show as approved. Refer to the Financial Assistance Handbook (PDF, 405KB) to resolve any issues at Payment of Fees to NZQA.

Any amendments made to fees, after the 1 September file has been sent, require that you contact the NZQA Data Team at NZQA, then arrange for an updated data file to be submitted.

Checking fee payments

Schools should use the NZQA Billing Report in the High Security login area to check that the amount owing for each candidate in the school’s records agrees with NZQA’s amount. If the records do not agree, the school should submit an updated data file to accurately reflect the fee paid by the student to the school.

N.B. Do not withdraw candidates who have not paid, as they can pay NZQA later in the year.

School payment of fees to NZQA – 11 September 2015

The total amount of the school’s payment for NCEA fees must reconcile with the total fees allocated to each student in your data file. A copy of the reconciliation should be sent along with the School Payment Form (PDF, 66KB) to provide NZQA with sufficient information to accurately allocate payments to individual candidates.

Include fee payments for any leavers who paid their NCEA fees to the school before leaving.

Indicate your payment method on the School Payment Form. If submitting payment by direct credit, ensure that you include your NZQA debtor number and your MoE school code as references.  NZQA bank account details are available on the form if you make payment via direct credit.

Do not include any other remittances to NZQA along with your school’s NCEA and New Zealand Scholarship fees payment.

Additional school payments to NZQA – after 12 September 2015

Any additional payments from schools must be accompanied by a separate list of additional candidates paid for, and included in an updated data file.

Candidate payment to NZQA – after school payment

After the school payment has been sent, NZQA will accept 2015 fees directly from candidates. Candidates can log in to the NZQA website and pay their 2015 fees online using the Learner Login, or they may make a manual payment. Please remind candidates the School Candidate Form – Payment of NZQA Fees must accompany any manual payments.

Late fees and financial assistance applications

All NCEA and New Zealand Scholarship payments made after 1 December 2015 will incur a late fee of $50. By November, all affected candidates will be sent a letter reminding them they have unpaid 2015 fees.

Financial assistance applications can be made until 1 December 2015 for new or transferring candidates, or those paying direct to NZQA after the school fee payment. The school must submit these students’ details in their data file submission.
