Payment of NZQF Fees for 2011

NZQF fee payments are due at the NZQA by 16 September.

This circular outlines what schools must do to submit fees for candidates.

Fees and the Data File

It is important to have as many financial assistance applications included in the 1 September data file submission as possible.  Please check that all candidates who have applied for financial assistance are listed on the Key Indicators on your school login area of the NZQA website and all applications show as approved. Late financial assistance applications for new or transferring students can be made up until 1 December 2011.

Schools must not withdraw active candidates who have not paid, as candidates can pay NZQA directly later in the year or via the NZQA website from January 2012. These payments will incur a late fee of $50.00.

Schools must include fee payments for any leavers who paid their NZQA fees to the school before leaving.

Please ensure that the payment amount is indicated in your 1 September file for each candidate who has paid.  This is needed so that NZQA can allocate the correct payment of fees against each candidate. If possible, please send an accompanying allocation list with your School Payment Form or email a spreadsheet detailing your candidates’ payments through to schools@nzqa.govt.nz or directly to your Data team liaison. 

If you need to make any amendments to your fees after your 1 September file has been sent, contact your Data team liaison to arrange for an updated file to be submitted.

Payments to NZQA by schools

Please use the School Form – New Zealand Qualifications Framework (NZQF) Fees (DOC, 133KB) when submitting your payment of NZQF fees. The NZQA bank account details are available on the form if you make your payment via direct credit. 

Please ensure that you include your NZQA Debtor Number and your MoE school code as references. This form must still be sent to NZQA indicating payment method. Please do not include any other payments to NZQA along with your school’s NZQF fees.

Please note that NZQA must receive sufficient information to be able to allocate the payment to the individual candidates paying the fees.  The initial payment must reconcile with your initial entries. Any subsequent payments must be accompanied by a separate list of candidates being paid for and should reconcile with any additional candidates being entered.

Late payments to NZQA by candidates

After 16 September, NZQA will accept 2011 fees directly from candidates but a late fee of $50 must be added to the fee owing. Please refer candidates to the form School Candidate Form – New Zealand Qualifications Framework (NZQF) Fees (DOC, 84KB) which must accompany their late payment.       

Receipts will be issued for all payments received.
