Circular Distribution: Proposal to discontinue hard copy distribution

Currently Assessment Matters , SecQual and Scholarship circulars are available through:

• hard-copy, posted to schools and marked to the attention of Principals, Principal's Nominees and relevant HODs
• automatic email notification to Principal's Nominees, with a link to the electronic version for distribution to other staff
• the NZQA website, with a full list of circulars available to be viewed electronically or printed off
• individual email notification, to which individuals can subscribe.

School Relationship Managers also include a list of recent circulars in their regular newsletters to Principal's Nominees.

It is proposed that from the beginning of Term 2, 2009, circulars will no longer be distributed to schools via hard copy. Your feedback on this proposal would be greatly appreciated. After reviewing the points below, please send any feedback to your School Relationship Manager using the contact details at the end of this circular.

Please submit feedback no later than 27 February 2009.

The following points were considered in developing the proposal:

• Many schools only distribute circulars electronically and do not utilise the hard copies that are sent.
  
  
• The automatic email notification of circulars sent to Principal's Nominees allows them to decide how circulars are to be disseminated to staff, whether by emailed links, or printed copy.
  
  
• Currently there is often a few days' delay between electronic distribution and receiving a hard copy by post. This proposal removes the delay, and all schools would receive information at the same time.
  
  
• The proposal has the potential to reduce waste.
  
  
• Over the past year, subject-specific pages have been developed on the NZQA website. Increasingly, the detailed subject information that would have previously been sent by circular is being posted on these pages. This proposal would not affect schools' access to subject specific information.
