Design and Visual Communication (DVC) Submissions

Below is information for schools about the organisation and submission of Design and Visual Communication portfolios for assessment against the Design and Visual Communication external achievement standards and the Scholarship Performance Standard.

The mode of assessment for all external NCEA Design and Visual Communication standards and for the Scholarship Design and Visual Communication Performance standard is a submitted portfolio.

The assessment specifications define a portfolio.

It is expected that teachers are familiar with the Design and Visual Communication information, including the Assessment Specifications.

The submission date is Tuesday, 4 November 2014. Candidate submissions must be ready for collection by 10 am on this day.

A candidate's submission for Design and Visual Communication will consist of:

  • a clear A2 plastic bag containing the candidate's portfolio of work for assessment with a candidate label affixed to the outside of the clear plastic bag
  • a signed copy of the Design and Visual Communication authenticity form, one form per candidate, placed inside the clear plastic bag.

Scholarship Entries

Candidates who have entered the level 3 external achievement standards and Scholarship Design and Visual Communication should submit one portfolio only, for both assessments. This portfolio should contain evidence for the level 3 external achievement standards and evidence for the Scholarship performance standard.

A candidate who has entered Scholarship only, should submit the portfolio with appropriate evidence as set out in the Scholarship Assessment Specifications. The material will be assessed against the Scholarship performance standard only. All Scholarship portfolios must have a supplied green Scholarship sticker fixed to the clear A2 plastic bag.

Return of Portfolios and Assessment Schedules

All NCEA and Scholarship portfolios will be sent back to the school at the beginning of the following school year. NCEA Assessment Schedules will be sent at the beginning of the following school year. Scholarship Assessment Schedules will be sent in mid-February.

Materials

Schools will be sent a package of submission materials. This package includes:

  • Portfolio Submission Control Sheets with lists of candidates who have entered the Design and Visual Communication externally assessed achievement standards and the Graphics Scholarship performance standard. These are generally in batches of 8 candidates. There is a separate candidate list(s) for each marker.
  • A set of clear plastic A2 bags in which to place each candidate’s portfolio for the submission; there is one clear plastic bag for each candidate.
  • A set of candidate labels containing candidate details; there is one label per candidate. For a candidate entering BOTH level 3 and Scholarship, there may be two candidate labels. If two labels are provided, both should be placed onto the clear plastic bag.
  • Orange or blue New Zealand Couriers courier bags.
  • Small, green SCHOLARSHIP labels that need to be fixed to individual A2 plastic bags containing Scholarship material.
  • Large, green SCHOLARSHIP labels that need to be fixed to courier bags containing Scholarship work.
  • A set of bar-coded address labels containing a marker code and address details. There is one label for every batch of candidates allocated to a marker. Each bar coded label is unique to each bag of candidate portfolios.

Schools that have received insufficient materials should contact Megan Leech on (04) 463 4366 or megan.leech@nzqa.govt.nz immediately.

Late Entries

If candidate names are not on the Portfolio Submission Control Sheet, schools should contact Megan Leech on (04) 463 4366 or megan.leech@nzqa.govt.nz immediately. You will be sent a copy of the Late Entry Control Sheet (LECS) and a set of instructions.

Preparation of individual portfolios

The following process of organising the material for submission must be strictly adhered to.

  1. Place the candidate's portfolio into one of the A2 clear plastic bags.
  2. Label each candidate's plastic bag with the label provided - place the candidate label in the top left hand corner of the bag. (See the sample label below.) If two labels (one NCEA and one Scholarship) are provided for a candidate, place the Scholarship label on the bag underneath the first label.
  3. Place a small, green Scholarship sticker on any bag containing a Scholarship entry.
  4. Place the Authenticity Form, signed by both candidate and teacher into the bag with the candidate material. Ensure the authenticity form is outside the portfolio and visible.
  5. Remove any excess air and seal the clear plastic bag.


Submission Organisation

The following process of organising the material for submission is essential for the safe delivery, marking, and return of portfolios.

  1. Each list of candidates on the Portfolio Submission Control Sheet indicates a batch of portfolios allocated to an individual marker. Organise candidate portfolios into batches that correspond to the lists of candidates on the Portfolio Submission Control Sheets.
  2. Tick the ‘submitted’ column next to each entry for which work is being submitted.
  3. Place a cross next to each entry for which work is not submitted.
  4. Draw a line through the name of each candidate who has not submitted any material.
  5. Place each batch of portfolios into an orange or blue courier bag. Separate the carbon copy from the blue top sheet. Place the blue copy into the bag with the portfolios.
  6. Attach the correct, bar-coded address label to the outside of the courier bag. The correct label is identified by the four digit marker code on the Portfolio Submission Control Sheet and the identical number in the top right corner of the label.
  7. Each label is unique to each bag of candidate material. Please ensure the correct label is placed on each bag.
  8. Ensure that no courier bag exceeds 7 kg in weight.
  9. Remove any excess air and seal the orange or blue courier bag.
  10. Repeat the process for each batch.
  11. For all bags containing Scholarship work, affix a large, green SCHOLARSHIP sticker underneath the bar-coded address label. This sticker should be fixed only to the bags containing Scholarship work.
  12. Completed white copies of the Portfolio Submission Control Sheets MUST be sent to NZQA before or on the day of submission.
  13. To send the white copies of the Portfolio Submission Control Sheets to NZQA, you may:
    • Scan to PDF and email to: megan.leech@nzqa.govt.nz 
    • Fax the Portfolio Submission Control Sheets to Megan Leech, Secondary Examinations, on 04 463 3113
    • Post photocopies of the Portfolio Submission Control Sheets to Megan Leech, NZQA, PO Box 160, Wellington 6140.
  14. Portfolio Submission Control Sheets MUST still be sent even when all submissions have been crossed off the sheet.
  15. You MUST keep copies of the Portfolio Submission Control Sheets for your records.
  16. New Zealand Couriers will not contact the school prior to the submission date to arrange a time to collect the portfolios. Portfolios must be ready for collection by 10 am on Tuesday, 4 November 2014. If NZ Couriers have not arrived by 3 pm that day, please ring them on 0800 692 463.
