Checklist for Final Datafile Submission – 15 December 2021

PN Checklist

GENERAL ADMINISTRATION & DATA

Final data submission: 15 December

The last data file submission for 2021 is due by midnight 15 December.  Due to COVID disruption, the data file submission link remains open until then so schools can continue to report results and correct errors. This is the final data file submission date for 2021, changed from 1 December. Use the checklist on page 5 of this EmaiLink, the Key Indicators and Data File Submission reports in your Provider Login to help with this check.

Do not withdraw Leavers until after you submit your final data file. Where possible leave their enrolment active in your SMS until the end of January so they can view their results through your student portal. Also keep their email account live as they may have used it to register their NZQA student login.

Late internally assessed results intended for inclusion in your school’s 2021 results data can be entered using your Provider Login via the High Security/Add Results link. This link will open on 17 December 2021 and close on 28 February 2022.

Key Dates Calendar 2022

The 2022 Key Dates Calendar will be published on the NZQA website here in mid-December. Hard copies will be sent to schools in the first week of Term 1.

If you wish to opt-out of receiving A1 and A3 hard copies of the 2022 Key Dates Wall Planners, please email Lise.Nansen@nzqa.govt.nz by Wednesday 16 December 2021.

Leading National Assessment seminars 2022

These seminars will be held between 22 February and 12 March 2022. This is an opportunity for Principal’s Nominees and senior leaders managing assessment to meet to discuss issues and be updated on assessment initiatives.

E tū ana ngā hēmina LNA mō ngā kura Māori hei te tau 2022, e aro atu ana ki aua kaupapa tonu mā te tirohanga Māori e ai ki ngā tikanga Māori.  (There will be LNA Seminars for kura Māori in 2022, looking at the same content through a tikanga Māori lens.)

Details will be sent in January.

Reporting the completion of a New Zealand Certificate

Where students have completed an approved programme of study to gain a New Zealand Certificate, the school needs to report the achievement to NZQA by 8 December. NZQA can then issue a certificate to the student and add it to their New Zealand Record of Achievement. Please send your completed spreadsheet to your School Relationship Manager.

NCEA RESULTS - 2021

Learning Recognition Credits

When results are released, students will be able to use their Student Login to see how many Learning Recognition Credits they earned in 2021.

We will make regular updates to include any additional or late results, or any changes in results after reviews or reconsiderations.

Schools can see the LRCs students have earned in the Qualifications report with LRCs in their Provider Login.

Change of address and return of exam booklets

Students who have a permanent change of address after your final data file for 2021 need to contact NZQA on 0800 697 296 before 19 December to update their details to ensure portfolios and NZ Scholarship booklets get sent to the correct address.

Remember that you will need to make the address change in your SMS before the first file submission in 2022. Marked NCEA and NZ Scholarship Media Studies work will be available to students electronically through the NZQA website’s Student Login. These booklets will not be posted back to students.

Release of 2021 NCEA results and statistics reports

We will advise you of the release date for the 2021 NCEA results once exams finish. Provisional 2021 NCEA statistics are available shortly after results release day.

New Zealand Record of Achievement (NZRoA)

The NZRoA for students will be updated with 2021 results when qualifications are released in January 2022. It is then available in electronic format, or can be ordered in hard copy, through the Student Login. Students are entitled to one hard copy free of charge, with further copies costing $15.30 each.

Reconsideration application fees waived for students who meet income criteria

NZQA will waive the fee for students who meet the income criteria and apply for a reconsideration of an NCEA or Scholarship result.

The fee will be waived for students:

  • whose parent or guardian (or a person with relevant care responsibilities) is receiving a Work and Income or Study Link benefit; or
  • where the joint family income would entitle the family to receive a community services card (as set annually by the Ministry of Social Development).

These are the same entitlement criteria as used previously for financial assistance for NCEA fees.

Information to students will be included with results release and with the returned exam papers so schools do not need to take any action. However, you may wish to use your own communication channels to also let students and their families know. Some students may seek your advice about how to apply in February after their papers are returned.

Information about Reconsideration can be found here.

REMINDERS

2022 External Moderation

We will email you in December or January once your Moderation Plan is available.

Sensitive issues during the exam period

If a traumatic or sensitive incident that impacts on one or more of your students occurs after the exam period, please contact your School Relationship Manager as soon as possible.

Updating contact information

Please check through your Provider Login page that the Emergency Contact information for your relevant staff is accurate and up-to-date, particularly mobile phone numbers, as we may need to contact them or your Principal in case of an unexpected event during the exam or summer holiday periods.

Guidelines explaining how to do this were included in Appendix 1 of EmaiLink #7.

INFORMATION FOR STAFF

Feedback on Moderation Reports

You will notice that when you view a provisional moderation report there is now a Feedback button alongside the Query and Appeal buttons. This is intended as an opportunity for you to provide NZQA with feedback regarding the detail, clarity, and helpfulness of the moderation report. Clicking on the feedback button will open a pop-up window in which you can select your responses from the drop downs alongside each question. When you click on Submit in this window it will close and save your responses.

2022 Assessment Specifications

2022 Assessment Specifications for NCEA and New Zealand Scholarship external assessment will be published on the NZQA website on 15 December. Details will appear on the relevant subject pages.

National Moderator Reports 2021

There will be no National Moderator Reports based on 2021 External Moderation, published by NZQA in March 2022. The changed External Moderation process in 2021 in response to the COVID disruption has resulted in an insufficient volume of moderation samples on which to base moderator insights. It would not be appropriate to provide feedback on the reduced sample of submissions.

CHECKLIST FOR DECEMBER DATAFILE SUBMISSION – 15 DECEMBER 2021

Check accuracy of students’ reported results

Check the status of any internal entries that do not have results. If the student has had an adequate assessment opportunity, then a grade should be reported. If there has not been an assessment opportunity, then the entry should be withdrawn. Entries cannot be withdrawn after this file submission. The Candidate Entries and Results Report is useful for checking reported entries and results

Check course names. These cannot be changed after this file submission

Check whether unassigned standards should be in courses. Remember standards within courses must have been assessed this year

For Year 13 and any other leavers, make sure to leave their NZQA enrolment active when you take them off your school roll. This ensures that their results and any external entries you want are retained and are visible in the NZQA Learner login when results are published in January 2022

Check that students who have been withdrawn during the year have valid results reported (if they are not being reported by another provider) and do not have any active entries if these should have been withdrawn

Check any changes to students’ details such as address changes and name corrections
